Special Orders

Important information regarding instruments ordered specifically for a customer, including preorders, backorders, custom orders, and factory-direct orders.

What is a Special Order?

For purposes of this agreement, a “Special Order” includes any instrument, accessory, or product that is not immediately available for shipment and must be reserved, ordered, imported, manufactured, customized, or otherwise obtained specifically for a customer. This includes preorders, backorders, custom orders, factory orders, and any item requiring a future delivery date.

Special Orders

At Copeland Clarinets, many of our instruments are not sitting on a shelf waiting to ship. Some models are imported, reserved, assembled, customized, or prepared specifically for each customer.

For purposes of this agreement, a “Special Order” includes preorders, backorders, custom orders, factory orders, and any instrument requiring future delivery from a manufacturer or supplier.

Customers may place an order directly through our website. If an instrument is determined to be on preorder, backorder, or otherwise considered a Special Order, you will be directed to complete the Special Order Authorization Form before your order is finalized.

Why Do We Require This?

Our goal is simple: clear communication and transparency.

The authorization form helps ensure that both you and Copeland Clarinets understand:

  • The instrument being ordered
  • Estimated lead times
  • Payment authorization
  • Special Order policies
  • Cancellation and refund terms
  • Delivery expectations

This process helps prevent misunderstandings and allows us to provide the best possible service throughout your order.

 

Important Information

 

Lead Times Are Estimates

Most Special Orders are fulfilled within approximately 6–8 weeks. However, this timeframe is only an estimate and is not guaranteed.

Instrument manufacturers, international shipping, customs inspections, production schedules, raw material shortages, labor disruptions, weather events, supply chain issues, and other unforeseen circumstances may affect delivery timelines. Many of these factors are outside the control of Copeland Clarinets.

While we will always do our best to provide accurate estimates and order updates, delivery dates cannot be guaranteed.

Orders Are Not Finalized Until Approved

Your order is not considered finalized until:

  1. Payment arrangements have been made.
  2. The Special Order Authorization Form has been completed and submitted.
  3. Copeland Clarinets has reviewed and approved the order.
Special Orders Can Not Be Cancelled

Once an order has been placed with the manufacturer or supplier, the instrument may be reserved, produced, imported, customized, or otherwise obtained specifically for you.

For this reason, Special Orders may become non-cancellable and non-refundable once the order has been submitted to the supplier or manufacturer.

Any applicable cancellation terms will be clearly outlined in the authorization form.

What Your Agreement Means

By completing the Special Order Authorization Form, you acknowledge and agree that:

  • You are purchasing a Special Order item that may not be immediately available for shipment.
  • Estimated lead times are estimates only and are not guaranteed delivery dates.
  • Manufacturing, shipping, customs, production, and supply chain delays may occur.
  • Copeland Clarinets is not responsible for delays caused by manufacturers, suppliers, shipping carriers, customs agencies, or other third parties.
  • Your order may be placed, reserved, manufactured, imported, or customized specifically for you.
  • You have reviewed and accepted the applicable cancellation, refund, and payment policies.
  • You authorize Copeland Clarinets to proceed with the ordering process based on the information provided.

  • The item ordered
  • Estimated delivery timeline
  • Payment terms
  • Order status
  • Applicable policies
